ADAMM, HR and payroll software for Philippine companies

Privacy Policy

How we handle your information.

This policy covers ADAMM Employee Self-Service, the app and the system your employer uses to run attendance, leave and payroll.

Effective 12 August 2026 Last updated 12 August 2026 Philippine Data Privacy Act of 2012 (RA 10173)

01Who we are

ADAMM is an employee self-service app published by RICH-TEK IT SOLUTIONS CORPORATION ("Rich-Tek", "we", "us"), a corporation registered in the Philippines.

You use ADAMM because your employer uses ADAMM. Your employer decides what employee information is collected and how long it is kept, which makes your employer the Personal Information Controller under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173). Rich-Tek operates the app and the server on your employer's behalf as the Personal Information Processor. We do not use your information for our own purposes.

If you want to know your employer's own data privacy policy, contact your HR department.

02What ADAMM collects, and why

InformationWhen it is collectedWhy
Name, employee number, work email, position, department When your employer creates your account To identify you, show your records, and route your requests to the right approver
Precise GPS location (latitude and longitude) Only at the moment you tap Time In or Time Out To confirm you clocked in from an approved work location. Your employer sees the coordinates attached to that punch
A selfie photo Only at the moment you tap Time In or Time Out, if your employer enables face capture To confirm the punch was made by you and not by someone else
Attendance, leave, overtime, schedule and payroll records As you use the app and as HR processes them To show your timesheet, leave balances, schedule and payslips
Files you attach yourself When you upload a medical certificate, receipt or other supporting document to a request To support the request you filed
Google account email address Only if you choose Sign in with Google To match your Google account to your existing employee account
Device screen lock result (Face ID, Touch ID or fingerprint) When you unlock the app or open your payslip To keep your payslip private on a shared or lost phone

Your biometrics never leave your phone

ADAMM asks iOS or Android to check your screen lock and receives only a yes or no answer. We never receive, store or transmit a biometric template, and we could not reconstruct your fingerprint or face from anything ADAMM holds.

The selfie taken at a punch is a normal photo, stored with that attendance record. It is not run through face recognition and is not converted into a biometric template.

Location is collected only at a punch

ADAMM does not track your location in the background, does not follow you between punches, and does not record where you go outside working hours. Closing the app ends location access entirely.

03What ADAMM does not do

  • No advertising, and no advertising identifiers.
  • No analytics, crash-reporting or tracking software of any kind. We do not measure how you use the app.
  • We never sell, rent or trade your information. There is no circumstance in which we would.
  • We do not build a profile of you, and no automated decision is made about you by the app.
  • We do not use your information to train artificial intelligence models.

04Who can see your information

  • Your employer. Your HR staff, your approvers and your authorised managers see the records their role permits. Access inside ADAMM is permission-controlled, so a colleague at your level cannot open your payslip.
  • Rich-Tek personnel, strictly for support, maintenance and fixing faults, and only when needed.
  • Government agencies and courts, where Philippine law requires disclosure, for example a lawful order or a statutory report.

Two outside services are contacted by the app itself:

  • Google, only if you tap Sign in with Google. Google confirms your identity to us and receives the fact that you signed in. Its handling of your data is covered by the Google Privacy Policy.
  • OpenStreetMap, when a map or address search is displayed. It receives your device's IP address and the map area being viewed, which is what any map on any website receives. It is not told who you are.

Nobody else. There is no other third party in the app.

05Where your information is kept, and how it is protected

Your records are stored on the ADAMM server operated for your employer, hosted in a data centre secured by the hosting provider. Protections in place:

  • All traffic between the app and the server is encrypted in transit using HTTPS (TLS).
  • Selfies and uploaded attachments are held in private storage that is not publicly reachable. They can only be retrieved by a signed-in user with permission to see that record.
  • The app signs in with an access token held in the phone's secure keystore (iOS Keychain, Android Keystore), not a saved password.
  • Access is controlled by role and permission, and administrative actions are logged.

No system is perfectly secure, but we take these measures seriously and act on any weakness we find.

06How long we keep it

How long your records are kept is decided by your employer, not by ADAMM. Your employer sets its own retention schedule, based on the Philippine labour, tax and other record-keeping laws that apply to it, and on any audit, dispute or case that requires records to be held longer.

ADAMM keeps your information for as long as your employer's retention policy requires, and no longer. When that period ends, the records are deleted or anonymised.

Your HR department can tell you the exact retention period that applies to you.

07Your rights

Under the Data Privacy Act of 2012 you have the right to:

  • be informed about how your information is processed;
  • access the information held about you;
  • correct anything that is inaccurate. The app has a Profile Update Request for this;
  • object to processing, subject to the terms of your employment;
  • erasure or blocking of information that is unlawfully held or no longer needed;
  • data portability, to obtain your information in a usable electronic format;
  • damages, if you suffer loss from a violation of your rights; and
  • complain to the National Privacy Commission.

To exercise any of these, contact your HR department first, because your employer holds your employment records. If you cannot get a response, write to us at the address in Section 10. Requests are answered within a reasonable time and never later than the period the National Privacy Commission requires.

08Children

ADAMM is a workplace app for employed adults. It is not directed at children and we do not knowingly collect information from anyone under 18 years old.

09Changes to this policy

We may update this policy as the app changes or as the law changes. The current version is always on this page, and the "Last updated" date at the top tells you when it changed. Material changes will also be announced inside the app.
